We have been actively managing and leasing properties since the early fifties and include in our inventory properties that have been under our management for more than twenty years. It is our total commitment to treat each property as though it was our own. We are diligent in our efforts to maintain an active communication line with our owners. To that end, our owners are contacted regularly regarding such things as repairs, maintenance, bids, renewals, marketing, applicant approvals, leasing progress, non-payment of rent, eviction process, slow pays, small claims court results. One of our staff members is always available by phone or pager twenty-four hours a day, seven days a week for the convenience of our owners and tenants.

All tenants are counseled before move-in regarding their lease obligations, explaining their responsibilities, clarifying mutual expectations, defining emergencies and are encouraged to feel free to contact our office whenever necessary. Should there come a time when a tenant is failing to perform under the terms of their lease, we will act swiftly to remedy the situation.

Property Management Services 

 
  • Be aware of market conditions to insure that property is leased at its highest value.
  • Work with owner to present property in its most favorable light.
  • Market property through: Company's reputation and contacts in the community — Multiple Listing Services — yard signs — print advertising — E-mail — Web Sites — graphic sheets — brochure boxes.
  • Be diligent in making property available for showing by all authorized agents.
  • Provide 24-hour telephone service — 7 days per week — 365 days a year.
  • Maintain utilities to property, while vacant, and coordinate transfers to tenant at time of occupancy.
  • Prepare a general condition/inventory report of the property at the time of listing.
  • Maintain security of master keys to the property.
  • Tenant Screening: Credit History – Check Writing Profile – Employment Verification – Current and Previous Landlord Confirmation of Tenancy – Mortgage Payment History (when applicable) – Eviction Report (where available) – Criminal Background.
  • Follow required procedures in denying an applicant because of credit history.
  • Interview tenant and review conditions of the Lease Agreement prior to leasing.
  • Comply with Texas Property Code requiring certain types of locks and security devices.
  • Comply with Texas Property Code requiring smoke detectors.
  • Provide tenant with Lead-Based Paint Notice (when applicable).
  • Prior to move-in, prepare an in-depth Property Condition Report as part of Lease Agreement.
  • Collect rental payments, security deposits and pet deposits (when applicable).
  • Monitor rental payments for prompt receipt; enforce late fees; secure valid funds for returned checks.
  • Disburse funds to owner next business day after receipt of funds.
  • Maintain accurate and complete records of accounts receivable and accounts payable.
  • Provide owner with monthly accounting statement along with copies of receipts of paid invoices, bank deposits, etc.
  • Prior January 31st. of each year, provide owner with an annual statement along with IRS Form #1099 covering previus year.
  • Deposit funds into owner's bank account, as authorized.
  • With written authorization from owners — communicate with mortgage companies, insurance companies and taxing authorities.
  • Accounts Payable Services: Mortgage Payments – Insurance Premiums – Real Estate Taxes – Homeowners Dues – Home Warranty Premiums – Pest control Contracts – Installment Payments – Pool and Yard Maintenance.
  • Coordinate make-readies, maintenance, repairs and replacements (including foundation stabilization, roof replacement, water leaks, decorating, renovations, additions) through qualified vendors.
  • Arrange and pay for vendor services including: appliance – landscape – cleaning – painting – carpet and vinyl – plumbing – electrical – locks and re-keying – pet damage – extermination – stopped sewer lines – water leaks – glass breakage – fence repair – swimming pool and spa – sprinkler system.
  • Process and oversee insurance claims (fire, vandalism, wind, rain, hailstorm, water).
  • Mail timely notices to tenants regarding watering, A/C filters, winterizing.
  • Conduct periodic walk-thru and drive-by insptections.
  • Refund security and pet deposits, less documented damages, within the legal timeframe.
  • Handle JP Court evictions, set-outs and judgements for monies owed; set up payment arrangements.
  • File charges for NSF Checks with the Constable's office.
  • Assume management of properties with existing tenants.
